Accounts Payable

This class is designed to go through the entire AP process from invoice entry to printing of checks. We will discuss the multiple methods of invoice entry along with the pre-payment of invoices and the effects on the AP system and General Ledger (if applicable). Time will also be spent on reviewing the activity that is created in the history files and what processes need to take place at month end, quarter end, & year end. Prerequisite: none

Accounts Receivable (VCMS)

This class is designed to go through all of the options available within the AR module of VCMS. We will create customer accounts and use these to generate invoices and payments and how they can be accessed by looking at a customers history. We will also discuss period end steps and how to properly close a period. Prerequisite: none

Creating Financial Statements

This class is designed for the accountants and bookkeepers in your office who have a general understanding of accounting principles. We will discuss how the income statement and balance sheet reports are created in the system and how to maintain them. Time will be spent on allowing the student to create a mini-version of these same reports along with some examples of alternative uses within the management reporting menu. Prerequisite: Some accounting background is preferred.

Creating Macros within PCN-TERM

For those users who are currently using PC's to communicate with their main system and are using this emulation product, this class will help you to perform multiple tasks with the click of a button. Macros allow you to record/program system tasks that require multiple steps to be completed in a shorter time. Prerequisite: PCN -Term loaded on your PC

Credit Tracking Notes

This class will discuss the features and options available within the credit tracking module of Accounts Receivable. We will discuss the methods of credit note entry and how it can be used within your business, such as keeping notes on customers and other uses beyond credit type information. Prerequisite: none 

Exploring the Inquiry Screens

Within the VMMS system are numerous lookup screens that display specific data within each module. This class is designed to review all of the available lookup (inquiry) screens and explain how they can provide the information you need. Whether looking up customer data or inventory information, this class can provide you a great view into the many features of the VMMS system. Prerequisite: none

General Ledger Year End Steps

This class is designed for the person in your office who maintains the General Ledger system. All users, who use this module, will go through the fiscal year end procedures at some point and will need to follow specific procedures to accurately close the general ledger system and move into the new year. We will discuss all of these topics and explain their importance. Prerequisite: Some accounting background is preferred. 

Inventory - Advanced Setup

This class is designed to discuss the many setup features not normally part of your initial inventory setup training. The fields available for each inventory item are discussed with most attention given to mark up/down codes, price levels, vendor setup, minimum, maximum, & reorder levels. We will discuss the effects of each of these and how they work within the system. Prerequisite: none 

Inventory Management Reporting

This class is designed for the users who are in charge of their inventory. We will print and discuss all of the reports available within the inventory module and explain the data for each report and how they can be used to maximize your profits. We will look at reports showing sales margin data along with valuation reports. Prerequisite: Report Writer Class

Job Costing (VCMS)

The core module of the VCMS product is the ability to track costs by job, phases, & cost types. This class is designed to provide the user a greater understanding of all aspects of this module and of the reports available within the job-costing module. The majority of these reports can be controlled via the report writer methods. Prerequisite: Report Writer Class 

Just Ask - Beginning

Just Ask is a custom report writing tool and file manipulation utility. This class is designed for those who would like to be able to design reports that may not be available within the standard software. We will cover how to create reports that include the data that you want to see, in the order you want to see it, and either view these reports on the screen or send them to a printer. Prerequisite: general computer data background preferred

Just Ask - Intermediate

This class picks up where the Beginning Just Ask class leaves off. It covers how to modify file definitions to include related data, create more complex reports using varied sorting and selection methods, define and use multiple printers, and export data to a PC file for use in a spreadsheet or other PC program. Prerequisite: Just Ask - Beginning

Just Ask - Advanced

This class is designed for "power users" and explores the file manipulation abilities of Just Ask. We will work with creating custom report forms that allow summarized reports without detail, importing data from PC ASCII files, and updating files by modifying data in specific fields when they meet precise conditions. Prerequisite: Just Ask – Intermediate

Quote Re-pricing & Recapping

This class is designed for those users creating quotations on the system. The six different re-price options will be discussed and how they can be used to help you to modify your quote. We will also be discussing the extra features available within the Quote Recapping section and how we can bring together multiple quotes to generate one material list along with sales and margin information Prerequisite: none

Payroll (VMMS)

This class is designed for those users who currently have or are considering the payroll module. We will discuss all aspects of the payroll process and how the system can work for you. Everything from earnings to deductions to payday processing will be discussed. Of course, security & passwords will be strongly recommended and discussed to prevent unauthorized usage. Prerequisite: none

Period End Routines

Most all modules within the VMMS system have some form of period end function. We will discuss the proper timing of the month end, quarter end, & year end steps and how they apply to the normal course of your business. All modules, except General Ledger (see General Ledger Year End class), will be discussed. The user should be able to understand and perform the functions in the proper order after attending this class. Prerequisite: none

Purchase Orders

Designed to take the user from entry all the way through receiving and invoicing. This class is useful for those users who need to create purchase orders for their company and need to track their purchases. We will discuss how the system is affected by receiving and invoicing functions and show the various history screens available after the PO is completed. Prerequisite: none

Report Writer

This class is designed for those users who will be running reports on your system. Almost all of the reports use the report writer design to generate their respective reports. We will discuss the many methods of selecting the proper report and controlling what and how the data is presented on the report. Reports can be viewed prior to printing on paper and we will discuss how to control the data on the screen as well as searching through the report while displayed. ** This class is highly recommended for everyone. Prerequisite: none

Sales Analysis Reporting

This class is designed for those users who want to use the additional reports available within the sales analysis module. We will discuss all of the reports available and how to print them in a detailed or summarized fashion. These reports are very useful for analyzing your sales activity for a given time frame and can be used in some commission calculations. Prerequisite: Report Writer Class

Sales Order Entry

This class is designed for the employees who work at your sales counter and anyone who will be creating invoices. All of the basic functions of entering a sales order/invoice will be discussed such as cash, charge and credit tickets. Prerequisite: none

Security Features (Passwords)

Designed for the managers and system administrators of your stores, this class will discuss all of the options available to you to protect the un-authorized access of your company data. Multiple levels of security can be created to limit system functions to prevent inadvertent entry of data screens.

Setup & Usage of PFK's

PFK's (Programmable Function Keys), allow the user to access parts of the system with the touch of one key. You will learn how to set up and maintain the available function keys that work within the VMMS system. With 40 different keys to use, most users can accommodate most all of their simplest functions with the press of one key. Prerequisite: none

VQA (Versyss Quick Access)

For those users who have PC's and are using PCN-Term within Windows 95, 98, ME, or XP. We have the ability to use Windows based menus to access the VMMS product. This class goes through the process of installing and setting up VQA to work within your environment and parameters. We will discuss the ability to setup quick access codes for accessing the system and show you how to implement a strategy for all users. Prerequisite: Windows PC's with PCN-TERM.
